Catalog review for Librarians

A Librarian is a trusted BaubleStash role that reviews community catalog contributions before they are published.

Librarian review happens on the same website, with the same sign-in as every other collector. There is no separate admin site, hostname, or password.

Who can review

Only accounts with the Librarian role can open Catalog review. The server checks the role on every request.

If a signed-in account without the role opens the page, BaubleStash shows Librarian access is required and does not reveal the review queue.

Open the queue

  1. Sign in at baublestash.com/login.
  2. In the sidebar, select Catalog review.
  3. Choose a submission from the queue.
  4. Review the details in the side panel.

What the review shows

  • Submission type: new ornament, new release, or correction
  • Contributor name and submission date
  • Proposed catalog fields
  • Barcode evidence
  • Selected photos
  • Contributor notes
  • Possible catalog matches
  • For imported records: source/dataset, explainable matching evidence, a side-by-side existing-versus-incoming comparison, automatically applied additions, and conflicting changes awaiting a decision
  • Current status

Review actions

A Librarian can:

  • Edit the proposed fields.
  • Select which barcode evidence to accept.
  • Select which photos may become public.
  • Attach the contribution to an existing catalog record.
  • For imported records, merge safe information into a confidently matched canonical record.
  • Approve selected conflicting changes while keeping other existing values.
  • Keep an imported product as a separate design or release.
  • Publish a new record or new release.
  • Reject the submission with a reason.
  • Search the shared catalog for an existing match.

Approval is deliberate. It is not automatic when a collector submits.

What approval does

Approval can publish shared catalog details and selected photos. It does not take ownership of the contributor’s private stash or change their private copies.

The contributor’s private notes, condition, box, purchase details, and unselected photos stay private.

Good review habits

  • Prefer an existing record when the contribution is additional evidence.
  • Read the match evidence: a barcode, item number, year or exact design match is more meaningful than a similar name.
  • Safe missing information may already have been added. Select only the conflicting description, photo, relationship or identifier changes you want to accept.
  • Do not publish a photo that is unclear, duplicated, or not appropriate for a public catalog.
  • Keep manufacturer item numbers as text.
  • Treat a barcode as evidence, not proof of a release. A barcode already accepted by another release is a conflict, not an automatic merge.
  • Use a clear rejection reason so the contributor can improve a future submission.
  • Do not share contributor information outside the review context.

Private by default. Your ornaments and photographs stay yours.
